Court Records: How to Request Copies if Not Available Online

Most court records prior to 2008 are not imaged. Therefore, if you need copies from an older Palm Beach County case, it might not be available immediately through eCaseView.

Requests are filled in the order in which they are received. Older cases might need to be retrieved from the warehouse and then imaged and redacted before we can complete the request. Other requests will require research on microfilm. Given the volume of requests and the research an older record can require, the request can take up to 15 business days to fulfill.

How to view Family, Guardianship, Domestic Violence, Mental Health and Probate records from 2008 - present

You may use eCaseView to view document images for the case types below when the case is not older than 2008 and if you are either the attorney of record or a “registered user.”

Family – This includes divorce, custody, name changes, child support, paternity and domestic violence (only after the respondent has been served)
Guardianship
Mental Health
Probate – Including deposited wills

How to request copies of court records that are not available online due to age of record

To request copies of any court record that is not available to view online, you have the following options:

By email* – Send an email request to: Orweb@mypalmbeachclerk.com
By mail* – Mail your completed Records Service Transmittal Form along with payment and a self-addressed stamped envelope to the Records Service Center, PO Box 4526, West Palm Beach, FL 33402-4526.
In person – See a list of available locations.

Note: You must include sufficient payment with your request or have sufficient funds in escrow to pay the required fees.

How can I search for a document in the Official Record Books of Palm Beach County?
Search Official Records online.

Call 561-355-2932 and request a search. You will need to provide the following:
- Full name or legal description you want to search
- Exact year the document was recorded or approximate date of recording
Mail your request to the below address.

You must provide the following:
- The exact name you want to search
- Your name
- A self addressed stamped return envelope
- Appropriate fees (see Fees and Costs)
- Check payable to Clerk of the Circuit Court & Comptroller, Palm Beach County
What information can be used to search the Clerk of the Circuit Court & Comptroller’s official records of Palm Beach County online?
- Complete names of the parties
- Year, month or date of the recording (not required, but helpful in limiting the search)
- Legal description of the property (if applicable)
- The physical address of the property
- The parcel identification number also known as the parcel control number (PCN) or tax folio number, without the hyphens.
- Book and page number of the recorded document
- Instrument number of the recorded document
- The case number
Why can’t I find a document in the Official Record Index online?
- You may have entered the information incorrectly. Refer to the detailed instructions included in Landmark. Refer to the blue Help box on the search screen if you need step-by-step instructions on how to search.
- The document has not been recorded with our office.
Where can I find the Official Record Book and Page number of a recorded document?
- If you are looking at the document it is located in the top right hand corner of the recorded document, in the recording stamp.

How do I get copies of documents from Official Records or Court Records?
- Print uncertified copies for free of most Official Records from the Official Records search or court records from eCaseView.
- To order certified copies:
  - Official Records
  - Court documents
- If you are requesting a large number of documents and are unable to certify the documents online using the links above, you may email your request to ORWEB@mypalmbeachclerk.com.

How long will it take to get copies of documents?

If purchasing online certified Official Records or certified court records, the copies are sent by email soon after purchase. If purchasing a copy in the office or by mail, the amount of time required to copy the documents will vary based on your specific request. Please allow adequate time for your copies to reach you by mail.
Why would I need to obtain a certified ‘copy’ of an original document?

The certification validates that the copy is true and correct as made from the record in our office. Certified copies are required in a variety of situations.
