Order Online with E-Certify

If you eRecord with CSC eRecording Solutions, eRecording Partners Network or Simplifile, you can request a certified copy at the same time.

Purchase electronic certified copies of Official Records online through E-Certify. Official Records include, but are not limited to, court judgments, deeds, liens, marriage licenses, mortgages and tax deeds.

Your secure electronic certified documents will be available to download immediately after purchase. Electronic certified documents will have a unique code as well as an electronic stamp and seal at the bottom of the document.

Anyone can authenticate electronic certified documents at any time by using a clickable link on the document's cover page or scanning the QR code on the cover page with a smartphone.

Cost

Electronic certified copies are $8 per document, which includes a $2 statutory fee plus a $6 service fee. A 3.5% payment processing fee will apply to transactions paid by credit or debit cards, Google Pay and Apple Pay.

Uncertified, watermarked copies of Official Records are free to view online, save and print.

Acceptance of Electronically Certified Documents

Make sure to verify that the agency you’re working with accepts electronically certified documents. If the agency does not accept these documents, you can purchase manually-stamped certified documents from our Records Service Center in Room 4.2500 or at any one of our branch locations. Requests may be made by mail, email or phone and can be picked up in person or mailed to you. 

* If you have already procured an electronic copy that was not accepted by an institution, the Clerk’s office will provide a manually-stamped certified document free of charge.

FAQs

  • My certified document was not in the email. How can I get it?
    Please open the email you received and use the "Click Here" link in the email to download your document.
  • I did not receive an email after I completed my eCertified document transaction. How can I get my certified document?
    1. Go to www.clerkecertify.com and click on the yellow "Receipt Lookup" button or "Receipt Lookup" at the top of the page. Enter the order's receipt number and the email address used for your transaction to retrieve the document.
    2. If the document is not found, you may have mistyped your email address. Please contact our Records Service Center for assistance at ORWEB@mypalmbeachclerk.com or 561-355-2932.
  • Why am I being charged $8 and a payment processing fee for my online certification?

    Triedata, our E-Certify vendor, charges a $6 processing fee per document for the online convenience, and the Clerk charges the $2 statutory certification fee per document. The payment processor, MyPaymentPortal.com, applies a 3.5% surcharge for credit card, debit card, Google Pay and Apple Pay transactions.

  • What are the benefits of eCertified documents?
    E-Certified documents provide enhanced security. Documents that have been tampered with are flagged when verified by the receiver. Triedata uses advanced cryptographic techniques to ensure that the original document is kept intact. Additionally, there is the added convenience of accessing these documents anytime, anywhere from the comfort of your office or home.
  • If I misplace my document, can I download it again?
    The download link is available for 30 days from the date of purchase. After 30 days, you will be required to repurchase your certified document.
  • How do I verify an eCertified document that was emailed to me?
    Visit E-Certify and enter the unique certification number on the document or upload the document. Recipients of e-Certified documents can also authenticate them anytime, from anywhere using a clickable link on the document's cover page or by scanning the QR code.
  • How do electronic certified documents work?

    Each electronic certified document uses advanced encryption to produce a tamper-proof electronically certified document.

    Each document will have a unique electronic reference number for identification printed on each page and contains a digital signature identifying the certifier and tamper-evident seal validating the document as a true and accurate copy of the original recorded. 

    Electronically certified documents are available to download for 30 days after purchase. There is no limit to the number of times you may download the PDF during that time.

    You can verify electronically certified documents by using the clickable link on the document's cover page, scanning the QR code on the cover page with a smartphone or entering a unique code online in eCaseView. There is no fee to check certification.

  • Do electronic certified documents expire?
    No, not generally. Certified documents are valid from the time they are created and never expire. But there are a few exceptions (for example: guardianship and probate documents). Certified copies of letters of administration expire 60 days from certification or when a judge’s order supersedes a prior ruling.
  • Can I make additional copies of the eCertified documents I purchased?
    Yes. Your eCertified document may be forwarded by email or printed as many times as you like. Always save your certified document to your computer’s hard drive since the email link will only be accessible for 30 days.
  • Can I still get certified copies in person or by mail?
    Yes, certified copies can still be purchased in person or by mail.
